A day in the life of the project team

As a project officer, I am responsible for overseeing the smooth running of the NMC UK-Wide Framework for Quality Assurance approval and monitoring visits for Programme Providers in England, Scotland and Northern Ireland.

One of my main daily tasks is to identify reviewers to carry out these visits in line with agreed criteria. These include due regard for fields of practice and any conflicts of interest that might exist. It may sometimes require us to offer the visit to 4 or 5 reviewers before we find one who meets the criteria and is free on the proposed date of the visit.

Most of my other tasks are logistical. I arrange accommodation for reviewers, ensuring that the site of the visit is in close proximity to the hotel, and easily accessible on the morning of the event. Contracts need to be drawn up for each separate event, and I issue each reviewer with a briefing pack containing any relevant reports sourced from a number of online locations. Other key events in the year also need to be organised, such as conferences, training events and meetings.

I deal with a variety of enquiries from institutions, reviewers and professional staff on a daily basis, offering support and advice on the administration processes which support the Quality Assurance Framework. These queries are mainly relayed either over the telephone or by email. The majority of correspondence between reviewers, institutions and our director of reviews comes through us, so some days can be extremely hectic, particularly during key times of the year such as programme monitoring.

I also assist the Operations Manager in developing effective internal procedures for deployment and administration in relation to Quality Assurance activities. For example when ever we receive a report it has to go through certain internal Quality Assurance processes before it reaches the client to ensure we stay accredited to ISO 9001. Each approval has its own set of deadlines, it is our responsibility to try and meet these. We aim to coordinate the submission of reports within the agreed deadline to the client. Some deadlines we have to work harder to meet than others!
